Privacy policy

Game Habitat cares about personal integrity and the protection of personal data. All our processing of personal data complies with current personal data legislation. This policy contains information about how we process personal data.

Personal data is any information that relates to an identified or identifiable living individual.

Controller

Game Habitat Devhub AB (reg. no. 559166-3710), Game Habitat Southern Sweden AB (reg. no. 559100-1630), and Game Habitat Southern Sweden Ideell förening (reg. no. 802476-3008) are personal data controllers. The three legal entities are all integrated parts of Game Habitat. The description and information in this policy apply for all three legal entities. They are jointly referred to as the “organization” or ”Game Habitat” in this policy. In a specific case, the processing of personal data may be done solely by one of the entities, which then assumes the role as processor in that particular case.

Categories of data subjects

A person whose personal data is processed is referred to as a data subject. We process personal data regarding the following categories of data subjects: Individuals who are customers or potential customers, individuals that are suppliers or partners, individuals that use our website or sign up for our newsletter or events, and employees and individuals applying for a job with the organization.

The types of personal data being processed

We only collect personal data that is necessary and relevant for the stated purpose. The personal data that we collect is contact information, such as name, address, e-mail address, telephone number, job title, and place of work. Specifically related to events, we on occasion also collect data such as participant’s gender, age, and allergy or dietary requirements. In connection to events we also on occasion collect images where participants may be recognized.

Specifically to employees, we also process additional data such as information about salary, benefits, working hours, and leave of absence. Specifically for job applications to the organization, we also process data such as resumé and other information that we are supplied.

We also collect information about cookies and other user-generated data, such as clicks and visitor history, through activities on our website, newsletters and event pages.

Game Habitat processes personal data as follows: Personal data is collected, structured, processed, stored, and sorted out.

The purposes of the processing

We process personal data to be able to send information, invitations and marketing material we believe is relevant to the recipients. We also process personal data to manage data subjects’ participation at events, programs or in projects we host, take part in, or run, and to meet data subjects’ allergy or dietary requirements. We also process personal data to be able to fulfill our responsibility to data subjects that are our customers and employees, and to be able to consider data subjects that are applying for work with us.

The lawful grounds of the processing

Game Habitat’s processing of personal data is based on the following grounds: consent from the data subject, to be able to fulfill legal obligations, to be able to fulfill contracts entered into as well as to take action on request of potential customers before a contract is entered into, and based on our legitimate interest in being able to market our offers to customers.

Withdrawal of consent 

If certain personal data is processed based on consent from the data subject, the data subject has the right to withdraw his or her consent at any time.

Sources

Most of the time, personal data is provided by the data subjects, directly or indirectly, when we are contacted via email or our website, an individual signs up for an event we host or our newsletter, or interact with us through our social media channels. We also collect data through third party sources, such as Mailchimp, Google Forms, Google Analytics, and Eventbrite.

Receivers in other countries

We do not sell, distribute or otherwise make personal data available to any third party, with the following exceptions:

Game Habitat regularly participates in projects funded by the EU. We therefore need to provide the financier with information, including personal data provided by data subjects that have taken part in project activities.

Personal data may also be transferred to organizers, or suppliers to the organizers, of events that data subjects participate in and which are facilitated by Game Habitat.

Personal data is stored in third party systems, Asana, Google Workspace, Eventbrite and Mailchimp, as well as on respective social media providers’ servers.

Duration of personal data processing

We store personal data for as long as it’s necessary to fulfill the purpose for which the information was collected, that is, as long as we have a contractual relationship with the data subject, as long as it is prescribed by law, or as long as there is another legal basis for processing, such as our legitimate interest or the data subject’s explicit consent. When the purpose of the treatment no longer exists, we remove or anonymize the personal data.

Data subject’s right to information and data subject’s rights

The data subject has the right to receive information from the organization about what personal data the organization processes concerning the data subject, and the type of processing being performed. Requests are made to the organization.

The data subject has the right to request rectification of personal data processed by the organization concerning the data subject. The data subject also has the right to request erasure or restriction of, or object to, the processing of personal data, to the extent permitted by applicable regulations (in particular the EU regulation on the processing of personal data). The same applies to the right to receive information in digital format (data portability).

Requested information about personal data which concerns the data subject, is received in a separate document. Such information is provided via email if the data subject’s identity can be confirmed, or via mail to the data subject’s registered postal address in the Swedish Population Register.The data subject has the right to file a complaint concerning the processing of personal data by the organization to a supervisory authority. In Sweden the supervisory authority is the Swedish Authority for Privacy Protection, Box 8114, 104 20, www.imy.se.
